The Finance and Administration Manager is responsible for a sound financial management and administration of the organisation.
Profile
The candidate should be either French or English mother tongue or equivalent with preferably knowledge of another language, legally able to live and work in Brussels and willing and able to travel internationally and regionally on an occasional basis. S/he should have at least 5-10 years of relevant professional experience specifically in the area of Finances and Administration management.

The overall responsibilities of the Finance and Administration Manager are:

Financial management
Delegated responsibility from the Executive Director to manage WIDE's finances, including:
Principal Secretariat liaison with WIDE Treasurer, accountant and auditors;
Strategic overview of WIDE’s finances;
Supervision of audit and evaluation exercises;
Financial and administration reporting to SG meetings and other network entities as required.

Related tasks:
Prepare draft annual budgets and revisions according to agreed operational plans and priorities;
Prepare regular financial reports to the WIDE board and steering committee;
Ensure good management of cash flow and prepare and update the cash flow projection, in relation to confirmed income and planned expenditure, on a quarterly basis – making short term investments in savings accounts, if appropriate;
Monitor budget expenditure and income as required for reporting to funders and SG;
Prepare the financial reports to donors and coordinates & ensure timely provision of the narrative reports as well as provide any other feedback required by donors from WIDE (evaluations, specific reports);
Ensure accurate coding of all supporting documents, adapting the coding system and the accountancy procedures in accordance with funders requirements;
Supervision of all petty cash and bank operations and all financial transactions.
Administration and IT:
Delegated responsibility from the Executive Director to manage the administration of the office, the administration of employee and consultants’ contracts and the compliance of organisational procedures with Belgian law.

Coordination and supervision with the IT provider, including ensuring IT equipment and software are regularly updated and supervision of the Overall management of data base and communication tools.

Related tasks:
Ensure the smooth running of the office (including management of maintenance contracts with service providers and office material supplies, liaison with landlord, etc.);
In cooperation with the Director, evaluate and review WIDE’s staff contracts (JD/PS, coordination of recruitment, edit/amendment of contracts, salary package reviews, etc.);
Ensure contracts comply with Belgian employment law, liaising with the Social secretariat and other important stakeholders;
Ensure staff terms and conditions are agreed and adhered to by staff, advising the Director of any statutory changes that may be required;
Check all the legal mandatory obligations to be fulfilled by the organisation on contractual, financial and updating the Executive Director and taking appropriate measures to implement those obligations;
Supervise the drafting of terms of reference for consultants, ensuring the legal and financial aspects are in compliance with Belgian law;
Manage and provide day to day supervision of the work of the part-time administration assistant.
General contribution to work of the organisation
The position of Finance and Administration manager is the second most senior position in the Secretariat, and as such, the post-holder may be asked from time to time to deputise for the Executive Director in her absence. A number of the responsibilities as listed above, are the ultimate responsibility of the Executive Director, but have been delegated as day to day responsibility to the Finance and Administration manager.

The Finance and Administration Manager may be asked to undertake, within reason, any additional tasks, on request of the Executive Director, in order to ensure the smooth running of the operational plan and the efficient organisation of the work of WIDE.

Terms and conditions:
The position is 80 % (30 hours per week), like all positions within the WIDE Secretariat;
Approximately 2.400 – 2.800 Euro per month gross (based on 80%), depending on experience;
Applicants must be able to legally live and work in Brussels. The contract will be subject to Belgian social security and taxes;
Please note, WIDE is NOT in a position to financially support re-location costs or to facilitate a working visa for Belgium.

Our employment practice is involved in various high-profile, interesting employment matters, including recent and ongoing employment restructurings covered in the media. The lawyer will be involved in all areas of both collective and individual employment law, including assistance in drafting and terminating employment contracts, collective redundancies and employment aspects of corporate restructurings. Work in these areas not only includes outside-court assistance, but also covers litigation before the court. The lawyer will thus be entrusted with a mix of transactional, advisory and litigation work in the employment field.

Notwithstanding the broad scope of the areas covered, the lawyer will be able to further specialise in one or more areas as the practice grows further. Apart from the standard employment work, the lawyer will also provide support to other departments of the firm (e.g. on corporate transactions). The lawyer will have first-hand contacts with both the legal and HR departments of our clients. The lawyer must be creative and solution-driven. Given the increasingly international character of our work, there will be plenty of opportunity to work with colleagues and for clients worldwide.
